Analogous to capital, labor, and leadership, communication plays a significant role in achieving corporate goals and objectives. Communication offers an integral link between the employers and employees, as well as management and investors, since stakeholders must communicate and interact to accomplish and understand various activities within an organization (Miller, 2018). Notably, there are multiple ways to communicate within an organization, including conversations, written documents, video conferencing, and telephone conversations. However, with the rapid growth and advancement in technology, communication methods have changed from the traditional memos to digital, real-time technologies (Katherine, 2015). Unlike conventional modes of communication, modern ways of communication, such as Skype, Facebook, and WhatsApp, enable employees, employers, and other stakeholders to share varied content, including audios, videos, images, and messages at their convenience (Bantz & Pepper, 2013). Accordingly, to facilitate communication within an organization, managements need to implement modern modes of communication.
As an upcoming detergent company, the firm has been facing significant communication challenges, especially between the employees and the management. Since its inception, the corporation has been exploiting traditional communication channels, such as memos, telephone calls, and conversations. Although the administration insists that the notes are often posted at the firm’s board in time, many employees often admit that they fail to read the memos or misinterpret the message. Other workers often attribute their failure to undertake certain activities to their faulty phones or misinterpreted information from colleagues. As a result, such challenges have often culminated in substantial financial losses, threatening the success and existence of the business. In response, the company wants to install a digital communication platform that will eliminate these challenges. Precisely, the firm aims at developing a communication system that will facilitate real-time communication among employees, employers, and investors; the system will also expand content shared among stakeholders. As the project manager, I recommend the company pursue developing a communication application that resembles Skype for Business or Slack Technologies.
Goals and Objectives of the Project
Several goals and objectives need to be achieved by the end of the project. First, the project aims at improving the flow of information among stakeholders. The main aim of developing this application is to ensure continuous and uninterrupted communication among all members of staff and stakeholders of the company is achieved before the end of 12 months. Success will be determined by monitoring the use and the frequency of communication within the app in the company. Since communication is an essential aspect of company development and upward thrust, continuous and uninterrupted communication should be achieved with the right type of programming put in place in the development phase of this application. The application should be made available to its intended customers to complete the first goal for the project.
Secondly, the project aims at expanding the content shared among the stakeholders for profits up to 20% resulting from internal communication to be realized within the next 18 months after its inception. The proposed app will do so by offering multiple features, such as a private messaging section for private conversations, notification and news feeds segments for public communications, video conferencing section for online meetings and video calls, and audio calling segments for online requests. With such features, the stakeholders will be able to share audios, messages, and videos, both publicly and privately.
Besides meeting the goals mentioned above, the project’s main objective is to eliminate miscommunication misinterpretation of the communicated information to avoid incurring financial losses due to poor communication within nine months or less. Additionally, the project seeks to improve the relationship between stakeholders; thus, promoting teamwork and productivity, leading to more revenue and profitability. Markedly, if the project achieves the goals mentioned above upon completion, and the application is successfully implemented among employees, employers, and investors, all the objectives will be successfully met.
The project is also aimed at generating income to the detergent company since a replica of the same shall be sold to other companies that might show interest in the complete application. This goal is to be achieved, preferably between 12 months after the inception application in the company. This goal will be completed by selling the application to other companies under the copyrights of the detergent company. A varied amount of sales will be observed within the period starting 12 months after its inception into the operational organization and various improvements implemented in the application.
Project Structure
Analogous to other famous projects and as defined by the Project Management Institute, these projects will undergo all the five phases of project management. Since this project can be classified in the organizational structure, my team and I will assess the feasibility and value of the proposed communication system to determine whether it is worth pursuing in the initial phase of the project. If we determine it is valuable and worth pursuing, I will brief other stakeholders regarding the goals and objectives of the project before persuading them to support the project. In the planning phase, we will present the project’s blueprint, which includes the required resources, financing options, setting timeframes, and potential risks.
In the execution phase, my team and I will engage in the intensive development of the application. The stage will develop all the projected features of the system, including the private messaging sector and the video conferencing segment. Admittedly, this phase might take longer to complete because it will involve numerous complex programming, testing, and knowledge sharing among team members to ensure that the supposed product is delivered in the end. The fourth phase, which involves monitoring and control of ongoing activities, will be undertaken simultaneously with the third phase (Dinsmore & Cabanis-Brewin, 2016). In essence, this phase ensures that only the supposed product is delivered in the end. Finally, I will close the project by providing the completed application to the organization before holding a post-mortem meeting to evaluate the entire project, highlight the success, and address required future improvements.
Customers and Stakeholders
The primary target consumers for this application are the detergent making company together with its employees, management, and investors, who will download the app from various application stores. The application will be installed on their phones and other devices that can access the internet. Besides being the firm’s customers, the employees, managers, and investors are also the main stakeholders in this project. Moreover, other customers linked to this project will include all companies who will have an interest in getting one such communication platform for their growing businesses. Therefore, small and growing businesses are some of the other significant customers linked with this project after it is tested and verified to work with this first attempt.
Internal stakeholders to the project include the app development team and its staff, i.e., the staff I shall carry forward for this project. Internal stakeholders will also involve the detergent company and its investors. External stakeholders include all the consumers of the finished product, including the staff at the hiring company.
